Position Title: Administrative Associate

GTI seeks an administrative associate to manage the daily operations of the office. The ideal candidate for this position will be someone with excellent office management and communication skills. Our vision for the administrative associate centers around professionalism as the person in this role will manage a high level of data, create and execute office processes, prepare expense and budget reports, and ensure optimal overall workflow efficiency. The position is full-time and located in GTI’s office in Washington, DC.

Responsibilities:Generating and maintaining monthly and annual workflow finances on QuickBooksProcessing invoices, payments, records maintenance, and managing office budgetsNegotiating contracts and agreements with vendors, and ensuring vendor compliance with contract agreementsManaging office supplies, maintaining an inventory, and overseeing office repairs and maintenancePreparing letters, presentations, and reports on administrative matters as neededOrganizing meetings and managing databasesImplementing and maintaining procedures/office administrative systemsBooking transport and accommodation when necessaryActing as a liaison between the employees and the Board of Directors when it comes to financial and administrative issuesOrganizing onboarding processes for new employeesEnsuring that health and safety policies are up to dateDealing with external correspondence, complaints, and queriesFacilitating communication across the entire office Qualifications:Minimum of a bachelor’s degree in business, accounting, or a related financial fieldEstablished experience in evaluating, onboarding, training, supervising, and motivating employees in administration Strong communication (both written and verbal), leadership, and time management skillsProficient with the use of computers and software programs used in finance, business, and accounting such as Excel, Quickbooks, and Microsoft OfficeAt least two years of experience in an administrative positionCritical thinking, interpersonal and problem-solving skillsStrong analytical skills, detail-oriented and exceptional organizational and multitasking abilitiesSalary level will be competitive and determined in light of education, position-related experience, and professional accomplishments.
